Essential Job Functions:

In this section, the primary duties and responsibilities that fall within the scope of the Hospital Operations Manager position are set out. These accountabilities must be fulfilled by the Manager:

  • Train and develop hospital paraprofessionals to promote quality care, streamline processes, and enhance the overall patient experience.
  • Collaborate effectively with all veterinary staff members in the hospital to foster a positive and inclusive team culture.
  • As the primary contact, your job description covers multiple everyday aspects of the veterinary clinic's operations. The duties include planning veterinarian and support partner schedules, keeping track of inventory levels and ordering supplies, generating proper invoices, coordinating with patients and their schedules, offering employee training, ensuring radiological safety compliance, and managing customer complaints.
  • Partner with the AOM and HR Business Partner to supervise the search, orientation, appraisal and termination of paraprofessional partners, following organizational rules and laws.
  • Take up the task of arranging work schedules for Petco's paraprofessional team with sufficient time in advance, specifically two weeks. Keep a close eye on the adherence of hospital partners to Petco's punctuality and attendance policies.
  • Build and maintain a comprehensive calendar of doctor schedules with support from the Area or Regional Medical Director.
  • Utilize monthly P&L reporting to work alongside the Area Operations Manager and surpass financial goals set by the Finance team by increasing revenue growth.
  • If there are any partner or client related issues that require attention, escalate to the Area Operations Manager, Area Medical Director, or HRBP for further assistance.
  • Work in tandem with Petco employees to establish open communication channels that promote exchange of information and ideas.
  • Set up appointments for clients, educate them on healthcare options, forward test results to physicians and patients, keep track of hospital inventory stocks, maintain real-time patient profiles with practice scheduling software, and manage accounts receivable.
  • Striving for excellence in hospital cleanliness is essential to prevent the transfer of viruses and bacteria that can be detrimental to the wellbeing of patients and staff alike
  • Upholding the policies and procedures of Petco and Vetco Total Care is essential to ensuring the highest standards of pet care.

The Hospital Operations Manager will hold great responsibility for ensuring that patients and guests receive the best experiences possible during their time at the hospital, and this involves effective planning precautions for paraprofessional staff schedules and payroll costs to optimize daily operations for everyone's satisfaction.

The position necessitates the management of a team of one or more people, specifically Veterinary Technicians, Vet Assistants, and Concierge partners, with responsibilities that span the gamut from recruiting, interviewing, hiring, training, mentoring, and coaching to assignment delegation and partnering with Human Resources on disciplinary matters up to and including termination.

Minimum Requirements:

  • In order to qualify for the position, a minimum of two to three years of prior veterinary experience is necessary. Alternatively, having two or more years of strong leadership experience is acceptable.
  • Fluent and articulate communication skills are a key requirement.
  • The capacity to make difficult choices, empower staff to carry out the necessary tasks, and deliver on commitments underscores the success of any partnership with hospitals
  • In situations that may be emotionally taxing, individuals in this position must remain composed and show genuine empathy in order to perform their duties effectively.
  • Knowledge of basic computer operations and the ability to display good phone etiquette are imperative for success in this role.
